1. Who we are
ProComPi is the trading name of WILL HOKMAN LTD. ProComPi provides market-intelligence, opportunity-management and supplier-discovery services. For data-protection purposes, the controller is WILL HOKMAN LTD, company number 14287904, with its registered office at 1 High Street, Weybridge, England, KT13 8UA.
Privacy enquiries and requests can be sent to pdpdatacontroller@willhokmna.com.
2. Information we collect
When you use our discovery form or contact us, we may collect:
- your name, work email, telephone number, job title and preferred contact method;
- your organisation name, website, size, country, sectors and geographic markets;
- the market intelligence, business-development or procurement support you are seeking;
- your commercial objectives, current process, challenges, decision context, timeframes, stakeholders and indicative project values;
- links or additional information you choose to provide;
- your privacy acknowledgement and optional marketing preference; and
- limited source information such as the page used, referring page and campaign parameters.
Please do not submit special-category information, financial credentials, passwords, confidential deal documentation or information you are not authorised to share.
3. Why we use your information
We use the information to:
- review and respond to your enquiry;
- prepare intelligence and relevant questions for a focused discovery meeting;
- assess whether our services, platform or supplier network may be relevant;
- manage follow-up, proposals and any resulting business relationship;
- protect the website and form from misuse, duplicate submissions and fraud;
- maintain business, compliance and audit records; and
- send relevant market-intelligence updates where you have actively opted in.
4. Our lawful bases
Depending on the context, we rely on:
- steps at your request before entering a contract, where you ask us to explore a service or proposal;
- legitimate interests, including responding to business enquiries, preparing meetings, developing our services, maintaining appropriate records and protecting our systems, where those interests are not overridden by your rights;
- consent for optional email marketing, which you can withdraw at any time; and
- legal obligations where record-keeping, regulatory or disclosure requirements apply.
Submitting an enquiry is voluntary, but we cannot assess or respond effectively without the fields marked as required.
6. International processing
Some technology providers may process information in countries outside the United Kingdom. Where restricted transfers occur, we expect appropriate safeguards to be used, such as applicable adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved contractual clauses, together with supplementary protections where required.
7. How long we retain information
Our current retention approach is:
- enquiries that do not become an active opportunity: normally up to 24 months after the last meaningful interaction;
- active prospects and client relationships: for the relationship and a reasonable period afterwards;
- contract, financial, compliance and dispute records: up to six years after the relevant relationship ends where necessary; and
- marketing preferences: until you unsubscribe, withdraw consent or the record is no longer useful, subject to maintaining a minimal suppression record where needed.
We may retain information for a shorter or longer period where the circumstances, legal duties, claims, security needs or an active relationship require it. We periodically review records and delete or anonymise information that is no longer needed.
8. How we protect information
We use proportionate organisational and technical measures, including restricted access, a private destination spreadsheet, server-side validation, duplicate prevention, spreadsheet-injection protection and submission-reference checks. No internet transmission or storage system can be guaranteed completely secure.
9. Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to our use of your personal information, and to receive information in a portable format. You can withdraw marketing consent at any time. Some rights are subject to legal conditions and exemptions.
To exercise a right, contact pdpdatacontroller@willhokmna.com. We may need to verify your identity. You may also complain to the UK Information Commissioner’s Office through its official website.
10. Automated decisions and children
We do not use discovery-form information to make solely automated decisions that produce legal or similarly significant effects. The website and services are intended for business users aged 18 or over.
12. Changes and contact
We may update this policy when our services, suppliers or legal obligations change. The effective date above shows the latest published version.
